Good News: Introduction Email
It’s your first week in your new position at Insight Solutions as a Project Coordinator. Congratulations! Your
boss has asked you to send an interoffice email with a professional headshot and short bio to introduce yourself
to the team. Using professional writing techniques discussed in Chapters 7 and 9, craft a message that makes an
excellent first impression and reaches these goals:
• Demonstrate excitement, goodwill, and gratitude for being hired at this company and working with
this group of people.
• Demonstrate credibility (competence, caring, character – review Chapter 1) by providing a brief
overview of who you are, including relevant background, experiences, and skills, without sounding

• Explain your role in the company, with specifics on how this will benefit the audience of the
message (not just about your accolades).
• Project professionalism by properly formatting your email considering the subject, greeting, body,
closing, and email signature (customized for your new company). Also include a professional
headshot for the introduction email. Insert the photo so it shows up in the body of the email (not as
an attachment). Resize the photo and format the message it as you would like it to be seen by the
audience (points will be deducted for no photo, non-professional photo, or photo not formatted correctly).
– The headshot should be business professional and appropriately used and sized for email.
– Don’t include a casual shot or try to crop out other people or distractions. Just because it may be
a good picture of you, it may not be the best lighting or background environment. You may need

to snap a photo for this assignment (remember, it must look like a professional shot it!).
– Do not include a photo that is not proportionate. For information on how to do this, see maintain
aspect ratio. This gives an example of using PowerPoint to resize a photo, but you can also do
this in Word.
• If you want to create a copy of the photo that is cropped, you could use your computer’s
photo app to crop a photo and save it.
Bad News: Job Rejection Email
It’s been a month after you started your new position, and you just received an email from KTS Strategies
offering you a job as a Project Coordinator. Originally, KTS Strategies was one of the top three companies you
wanted to work for. It was also one of the first places you applied.
After you applied for the position at KTS Strategies, you didn’t receive any response about your application or
the job, despite multiple attempts to inquire about the status. It seemed that every time you called, the person

turn the offer down. You’ve already committed to work for Insight Solutions and have started making friends.
You also like the culture and think starting over would be a challenge and would damage your credibility with
your current employer.
