Scenario: You are the Health Information Manager at a 25-bed critical access hospital. You wear many hats at this organization and currently oversee all HIM Department functions (coding, transcription, document imaging, etc.), the management, maintenance and implementation of the EHR and privacy & security. The organization has been sequentially implementing and adopting their “Best-of-fit” EHR in a modular fashion (similar to the HIMSS Electronic Medical Record Adoption Model
http://www.himssanalytics.org/emram/emram.aspx).
One of the organization’s goals is to improve quality through benchmarking with similar organizations and their strategic HIT imperative is to improve patient safety with a closed loop medication administration.
Among the modules that have been implemented, CPOE has been fully implemented and adopted by physicians. You are now charged with the implementation and adoption of the BC-MAR module for the EHR system in order to meet the organization’s goals and their closed loop medication administration HIT goal. The organization has 5 nurses that perform and record medication administration. In preparation for adopting a BC-MAR system, you asked the nurses to map the current process as shown in the figure below. To show variation among the nurses, each variation was numbered. These numbers do not coincide with a given nurse. Instead, if there were three variations among the five nurses, the three variations were numbered 1, 2, and 3 respectively. If each of the five nurses did something different, there were 5 variations illustrated.
After reading the article provided, the scenario above, reviewing the toolkit and researching BC-MAR on their own, the student should: 1. List a minimum of 3 steps the Project Manager should take for the following:
o BC_MAR HIT planning
o BC-MAR HIT design
o BC-MAR HIT selection
o BC-MAR HIT implementation
o BC-MAR HIT integration
o BC-MAR HIT testing
o BC-MAR HIT evaluation
o BC-MAR HIT support/maintenance
2. Analyze the Medication Administration workflow diagram. Then compare the Medication Administration workflow and the potential workflow using BC-MAR described at
https://digital.ahrq.gov/ahrq-funded-projects/emerging-lessons/bar-coded-medication-administration. In 2 paragraphs, share your thoughts and conclusion on how the hospital can meet their strategic goal through the use of BC-MAR.

Student must complete the written report. Submit the completed report in appropriate field in Blackboard. Name on top left side of page 1, maximum of 20 pages, 12 font, no cover page.
The written PPE report will be used to assess the student’s understanding of the business and departmental operating systems of the affiliation site. In the report, include the following information:
A. The description of the facility or organization
This should include number of beds, patient volumes, services offered, patient population, ownership, financial or market position, and organization of the medical staff. For other non‐ hospital organizations explain the primary business or mission of the organization. Much of this information can be accumulated before the experience. Be sure to verify the information with facility personnel. Make sure any information in the report is for general use and cite the source of your information.
B. An organization chart that shows the location of the department within the organization and an organization chart of the department itself. Identify the key people on the chart.
C. Describe the functions/areas of responsibility
Describe the functions or the areas of responsibility of the department or service you are working in. In non‐hospitals, what primary services or products are produced?
D. Describe the management staff:
Some guidelines for describing the management are:
· responsibilities
· educational and work background
· intra and extra departmental relationships
· committee involvement
· future plans for the department
· personal philosophy of the manager(s)
E. Describe any projects assigned
The description must be complete and must include:
· the instructions for completion, and
· the steps you took in completion of the project
· the end result of the project
Be specific in this description. Relate how you found information to complete the assignment, procedures used or designed, etc. For example, if you developed an in‐service, explain how you got your materials. If you conducted a QA/QI study, document the technique used.
F. Describe any unusual activities
Examples may include personnel problems, training programs, or vendor presentations. Include copies of any reports, minutes, etc., that were prepared and which can be shared.
